Work Hours: 06:00 – 14:00 SAST (Aligned to Australian Business Hours)
Role Type: Full-Time
Reports To: GM
Salary: R20,000 per month (Non-Negotiable)

Position Overview:

We are a structured, values-driven Australian recruitment agency seeking a highly organised and execution-focused Recruitment Coordinator to support our growing international client base.

This role is responsible for managing the full backend recruitment lifecycle — ensuring seamless operational delivery from job advertisement through to offer stage.

The successful candidate will serve as the operational engine of the recruitment function, taking ownership of screening, coordination, compliance, tracking, and candidate communication.

This is not a junior administrative role. We are seeking a capable, detail-driven recruitment professional who thrives in structured environments and understands agency recruitment standards.

  • Post and manage job advertisements across relevant platforms
  • Conduct structured CV screening against role requirements
  • Shortlist suitable candidates for progression
  • Draft competency-based interview questions
  • Maintain active and future talent pipelines
  • Set up recruitment projects on one-way interview platforms
  • Administer and monitor skills assessments
  • Facilitate reference and background checks
  • Schedule interviews, client introductions, and panel sessions
  • Ensure timely candidate progression through each stage
  • Maintain accurate and up-to-date candidate records in ATS and trackers
  • Monitor candidate movement and stage progression
  • Track turnaround times and highlight potential bottlenecks
  • Ensure compliance documentation is completed and stored correctly
  • Provide professional updates to candidates throughout the recruitment process
  • Send structured rejection communications
  • Follow up on outstanding assessments and documentation
  • Support the Recruitment and Client Care Officer in ensuring smooth client communication flow
  • Monitor KPIs including screening turnaround time, record accuracy, coordination efficiency, and pipeline reporting quality

Desired Experience & Qualification

Qualifications & Experience:

  • 3–5 years’ experience in agency or high-volume recruitment
  • Proven experience managing backend recruitment operations
  • Strong experience in CV screening and structured shortlisting
  • Experience coordinating interviews, assessments, and background checks
  • Demonstrated ability to manage multiple active recruitment processes simultaneously
  • Strong understanding of recruitment lifecycle management
  • Experience working with international clients or remote teams (advantageous)
  • International recruitment exposure preferred

Educational Requirements (Advantageous):

  • Diploma or Degree in Human Resource Management, Industrial Psychology, Business Administration, or related field
  • Recruitment / Talent Acquisition certification
  • Training in labour law or recruitment compliance

Technical Proficiency:

  • Applicant Tracking Systems (ATS)
  • LinkedIn Recruiter, Pnet, Careers24, and similar platforms
  • Google Workspace (Sheets, Docs, Drive, Calendar)
  • Online interview platforms (e.g., Wamly, PlacementPartner or similar)
  • CRM or recruitment tracking tools
  • AI tools for drafting, screening support, and workflow optimisation
  • Basic reporting and pipeline analysis in Google Sheets
