Description:

We're hiring a highly organized and detail-oriented AIA Billing & Construction Project Coordinator to support the successful execution of commercial construction projects.

This role is responsible for managing construction contracts, bonding processes, AIA billing, project documentation, and administrative coordination across multiple projects.

We're looking for someone who understands commercial construction workflows, can manage detailed documentation with accuracy, and proactively keeps projects moving forward.

Key Responsibilities

Contracts & Bonding Management

• Review and manage commercial construction contracts throughout the project lifecycle

• Coordinate bid bonds, performance bonds, and maintenance bonds

• Prepare and submit bonding documentation accurately and on time

• Communicate with bonding companies, municipalities, and general contractors

• Track contract documentation and ensure compliance

AIA Billing & Project Administration

• Prepare and submit AIA billing packages

• Maintain Schedule of Values (SOV) documentation

• Track retainage and payment milestones

• Ensure billing submissions are accurate and timely

• Monitor project deadlines and payment-related issues

Buildertrend & Project Systems

• Maintain project records and documentation in Buildertrend

• Track schedules, receipts, milestones, and progress updates

• Ensure project information remains accurate and organized

• Maintain CRM and project management system data integrity

Administrative Support

• Coordinate with clients, contractors, vendors, and project stakeholders

• Support pre-construction and pre-sales activities

• Organize permits, contracts, and project documentation

• Participate in weekly project meetings

Required Experience

• Commercial construction contract experience

• AIA billing and Schedule of Values (SOV) experience

• Knowledge of bid bonds, performance bonds, and maintenance bonds

• Strong Excel and Microsoft Office skills

• Excellent communication and organizational abilities

Nice to Have

• Buildertrend experience

• Construction, landscaping, or project management background

• CRM experience

• Construction bookkeeping or accounting experience

• Accurate and timely AIA billing submissions

• Successful management of bonding documentation

• Accurate project records and CRM data

• Timely contract administration
