We are currently hiring a Virtual Executive / Legal Assistant—a high-trust role responsible for managing executive workflows, coordinating communication, and ensuring that leadership operations run smoothly and without disruption.
Role Overview
The Virtual Executive / Legal Assistant supports executives by ensuring that calendars, communication, and administrative workflows are managed with precision and consistency.
This role sits at the intersection of coordination, communication, and execution—serving as a central operational support layer that keeps leadership aligned, prepared, and focused.
You will manage calendars, handle inbox communication, coordinate meetings, and support documentation workflows while maintaining professionalism and discretion at all times.
What You’ll Be Doing
Calendar & Inbox Management
- Manage complex executive calendars, including scheduling across time zones, recurring meetings, and priority time-blocking
- Monitor and organize inboxes, flag urgent communications, and draft professional responses
- Coordinate meeting logistics including links, agendas, and participant alignment
Meeting Coordination & Documentation
- Prepare meeting agendas and supporting materials
- Capture detailed notes, action items, and decisions during meetings
- Track follow-ups, assign task ownership, and maintain updates in shared systems
Administrative Support & Communication
- Prepare presentations, reports, and operational documents using Google Workspace or Microsoft Office
- Coordinate travel logistics, event scheduling, or external engagements when required
- Communicate on behalf of executives with internal teams, clients, or external stakeholders
What We’re Looking For
Core Skills
- Strong calendar and inbox management capability
- Experience coordinating meetings and documenting action items
- Proficiency with productivity tools (Google Workspace, Microsoft Office)
- Familiarity with project or task management systems (Notion, Asana, ClickUp)
- Ability to manage sensitive information with discretion and professionalism

- Familiar with communication tools (Slack, Zoom, Teams)
- Able to manage tasks using structured workflows or trackers
- Strong time management and prioritization skills

Additional Notes
- Prior experience supporting executives, leadership teams, or legal workflows is a plus, not mandatory
