Our creative team doesn't operate as one large department—it operates through multiple high-performing pods.

Each pod consists of Creative Strategists, Performance Graphic Designers, Paid Ads Video Editors, and other creative specialists responsible for producing the ads that fuel company growth.

As we continue scaling, our Head of Creatives can no longer spend time chasing deadlines, following up on tasks, or resolving daily execution issues.

This role exists to solve that.

You will own the operational execution of multiple creative pods, ensuring projects move smoothly from ideation to delivery while removing bottlenecks before they impact output.

You are not responsible for creating ads.

You are responsible for making sure the people who create them can perform at their highest level.

The Role Overview

This role exists to own project execution across multiple creative pods

so that strategists, designers, and editors stay aligned, accountable, and productive

which results in more creatives launched on time, fewer production bottlenecks, and allows the Head of Creatives to focus on strategy instead of daily coordination.

You will become the operational backbone of the creative department.

If done well:

The Head of Creatives no longer follows up on deadlines.

Pods communicate proactively.

Projects move forward without constant intervention.

Everyone knows what they're working on and when it needs to be delivered.

Responsibilities (Outcome-Based)

You will be accountable for:

  • Managing the workflow of multiple creative pods simultaneously
  • Tracking every project from concept through final delivery
  • Ensuring Creative Strategists, Graphic Designers, and Video Editors stay aligned on priorities
  • Running project timelines, deadlines, workload allocation, and production schedules
  • Identifying blockers early and driving quick resolution before they delay production
  • Following up with pod members to ensure deliverables stay on schedule
  • Facilitating communication between pods and the Head of Creatives
  • Maintaining accurate project tracking inside ClickUp, Notion, or similar systems
  • Leading weekly production planning and progress meetings
  • Providing visibility into pod capacity, project status, and delivery risks
  • Continuously improving creative workflows to increase speed and reduce operational friction

This is ownership—not administrative support.

  • Deadlines are met without leadership needing to follow up
  • Creative blockers are resolved before they become major issues
  • Team members always know priorities and next actions
  • Creative throughput increases as operational inefficiencies decrease
  • The Head of Creatives spends significantly less time managing projects and more time improving creative strategy
  • Cross-functional communication becomes proactive instead of reactive

Required Experience

Seniority Level: Entry - Mid Level

This role requires someone who has already managed multiple concurrent projects in fast-paced creative or marketing environments.

You should have:

  • 3+ years managing creative, marketing, or agency projects
  • Experience coordinating designers, editors, copywriters, or creative teams
  • Strong project management skills with multiple moving priorities
  • Excellent organizational and follow-up habits
  • Ability to keep teams accountable without micromanaging
  • Strong written and verbal English communication
  • High emotional intelligence and confidence communicating across different personalities
  • Ability to make decisions independently while escalating the right issues
  • Experience working in remote teams
