Description:

The HVAC Assistant Manager – Procurement is responsible for managing the procurement of HVAC equipment, spare parts, and materials required for projects and maintenance operations. The role involves supplier management, cost negotiation, purchase planning, and ensuring timely delivery of HVAC materials while maintaining quality and budget control.

Key Responsibilities

  • Manage procurement of HVAC equipment and materials such as chillers, AHUs, FCUs, VRF/VRV systems, compressors, motors, copper pipes, ducts, valves, filters, and refrigerants.
  • Prepare and review RFQs (Request for Quotations) and technical specifications.
  • Evaluate supplier quotations and select vendors based on price, quality, delivery time, and compliance.
  • Negotiate pricing, payment terms, and delivery schedules with suppliers.
  • Issue and manage purchase orders (POs).
  • Coordinate with maintenance, engineering, and project teams to understand material requirements.
  • Monitor supplier performance and maintain vendor relationships.
  • Ensure timely delivery of materials to avoid operational delays.
  • Maintain procurement documentation, contracts, and supplier database.
  • Monitor inventory levels for HVAC spare parts and coordinate with store department.
  • Identify cost-saving opportunities and alternative suppliers.

Required Qualifications

  • Bachelor’s degree or Diploma in Mechanical Engineering, Supply Chain Management or Business Administration.
  • Procurement or supply chain certification is an advantage.

Experience Required

  • 5–8 years of experience in procurement, preferably in HVAC or MEP industry.
  • At least 2 years in procurement supervision or team leadership.
  • Experience with HVAC spare parts, equipment sourcing and vendor management.

Required Skills

  • Strong knowledge of HVAC equipment and spare parts.
  • Vendor negotiation and supplier management skills.
  • Knowledge of procurement procedures and contract management.
  • Ability to analyze quotations and technical specifications.
  • Strong communication and coordination skills.
  • Proficiency in ERP systems and MS Excel.

Preferred Knowledge

Familiarity with HVAC brands such as Daikin, Carrier, Trane, York, and LG.
